1. What we collect
When you create an account, place an order or contact us, we may collect:
- your name, email address and phone number
- your delivery address and billing address, plus any delivery notes (for example, where to leave the bin, gate codes or access details)
- your username and password (passwords are stored encrypted, and we can’t see them)
- order details: what you ordered, your delivery day and schedule, subscription or swap preferences, order history, invoices and payments received
- messages you send us by email, phone, SMS or through the website
- basic technical information when you use our website, such as your IP address, browser and device type, pages visited and cookies (see section 6)
Payment details. Card payments are processed by our payment provider, Stripe. Your card number goes straight to Stripe, and we don’t see or store your full card details. If you pay by bank transfer (EFT) or cash on delivery, we record the payment against your order.
We don’t collect sensitive information (such as health information) and ask that you don’t send it to us.
2. Why we collect it
We use your personal information to:
- take and process your orders and subscriptions
- schedule, route and complete your deliveries, including swapping bins
- set up and manage your account
- send order confirmations, invoices, delivery reminders and service messages by email or SMS
- respond to questions, complaints and requests
- keep our accounts and records and meet our tax and legal obligations
- keep the website secure and stop spam and fraud
- understand how the website is used, so we can improve it
If you don’t give us the information we need (such as a delivery address), we may not be able to deliver to you.
3. Who we share it with
We only share your information when we need to in order to run our business:
- Our delivery drivers and delivery partners get your name, delivery address, phone number, delivery notes and what’s being delivered, so they can deliver and swap your bins.
- Our payment provider, Stripe, processes card payments.
- Our website host, Kinsta, hosts our website and its database, and Automattic (Jetpack) delivers website images.
- Our SMS provider, Twilio, sends delivery and order text messages.
- Our address lookup service, AddressFinder, suggests addresses as you type.
- Our accounting software, Xero, holds invoices and payment records.
- Google provides Google Analytics (website statistics) and Google reCAPTCHA (spam and bot protection).
- Meta (Facebook) provides the Meta Pixel and Conversions API, which measure the results of our Facebook and Instagram ads.
- Google, Facebook or Instagram are involved only if you choose to sign in with one of them. You then share your basic profile details with us, such as your name and email address.
- Our professional advisers, government agencies or authorities get information where the law requires or allows it.
We don’t sell or rent your personal information.
4. Marketing
We don’t run a newsletter. We send messages about your orders and deliveries because they’re part of our service. If we ever send you marketing, you can opt out at any time by using the unsubscribe link, replying STOP to an SMS, or emailing us.
5. Overseas disclosure
Some of the providers listed above store or process data on cloud servers outside Australia. This can include the United States, the European Union, New Zealand and other countries where those providers or their sub-processors operate. We choose established providers that protect personal information. By using our website and services, you acknowledge that your information may be handled overseas in this way.
6. Cookies and analytics
Our website uses cookies and similar technologies to:
- keep your cart and login working (essential cookies)
- protect forms from spam (Google reCAPTCHA)
- measure how the site is used (Google Analytics)
- measure the results of our ads (the Meta Pixel)
You can block or delete cookies in your browser settings, but parts of the site, such as the cart, login and checkout, may not work without them. You can also opt out of Google Analytics using Google’s browser add-on, and adjust your ad preferences in your Facebook or Instagram settings.
7. Storage and security
Your information is stored in our website database, our accounting system and the systems of the providers above. We take reasonable steps to protect it from misuse, loss and unauthorised access. These steps include encrypted (HTTPS) connections, password-protected accounts, limited staff and driver access, and reputable hosting. No method of storage or transmission is completely secure, though, so please keep your password private.
We keep personal information only for as long as we need it for the purposes above and to meet legal requirements (for example, tax records are generally kept for 5 years). After that, we delete or de-identify it.
8. Access and correction
You can view and update most of your details in My account. You can also ask us to access, correct or delete the personal information we hold about you by emailing orders@thewoodbox.com.au. We’ll respond within a reasonable time, usually within 30 days. We may need to confirm your identity first.
